It’s a people facing role, as you will be the first Skin Deep ‘face’ most people see, so please bear in mind that a friendly and welcoming outlook is as important as being able to carry out the key tasks.

Skin Deep Clinic: Receptionist/Admin Support

About Skin Deep Clinic:

Skin Deep Clinic is a 5* aesthetic clinic; so passion for delivering the highest levels of customer service and the ability to anticipate patient needs is essential. The receptionist is our first point of contact so must be friendly, organised, articulate and presentable. It’s also critical that the receptionist demonstrates the ability to work independently on the front desk, and closely with the wider team.

This role is responsible for the execution of day-to-day administrative and organisational tasks of the clinic. Full training will be given but experience in customer service is essential.

Main Duties/Responsibilities:

Welcome all patients arriving at the practice, ensuring they have completed relevant registration forms and are ready for their appointments, on time.

Keeping reception desk and waiting room area clean and tidy at all times. This will include emptying bins daily and vacuum and steam at least once a week, but as required.

Ensuring patient files and documentation are compiled/completed correctly prior to patient arrival.

Making and answering phone calls and responding to general enquiries; giving initial treatment/consultation information.

Managing the SDC email account on a daily basis, ensuring all enquiries are responded to the same day, without exception.

Ensuring Timely database is kept up-to-date and accurate at all times with notes, photos and contact details. Checking patient contact details at every appointment.

Management of clinic diaries with the responsibility for booking and rescheduling patient appointments as needed.

Ensuring prompt payment for all appointments and informing Wendy Hartwig/Sophie Dickens of any issues.

Manage stock levels – check daily, ensuring no stock runs out at any time

Liaise and order from supply companies and other organisations as required, and in conjunction with Wendy and Sophie.

Accepting deliveries, checking they are correct and putting stock away.

Handling the cash, and ensuring that all cash/credit card transactions balance when completing end of day banking.

Ensuring that all patient files are completed correctly before filing and returning to storage in an efficient, tidy ad secure manner.

Highlighting and resolving problems, both administrative and operational.

Data entry on accounting software and spreadsheets.

Other duties as necessary for the efficient running of the clinic.

In the performance of the duties outlined above, the post-holder may have access to confidential information relating to patients. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential.

Salary: National Living Wage

Annual Leave: 5.6 weeks paid holiday in each holiday year (pro-rated for part-time employees) including Bank and Public Holidays.

Sick Pay: There is no pay for any absence due to illness or injury, other than statutory sick pay if you are eligible. For the purposes of statutory sick pay, your ‘qualifying days’ are your normal working days.
